We Are Hiring - Program Coordinator 2022

The Program Coordinator will oversee SMILE Canada - Support Services programs and events in the community. We are looking for an independent self-starter with excellent time-management and organizational skills, multi-tasking capabilities, and an interest in working in the non-profit field.

Key Areas of Responsibility

Program and Event Management

  • Responsible for preparing and planning all Kids and Youth events, Parent Support Groups and Education and Awareness Events including booking venues, scheduling speakers, and maintaining communication with team members.

  • Tasks include event sponsorship, creating promotional material, managing volunteers, managing all event set-up, tear down and follow-up processes, maintaining event budgets, booking venues, entertainers, photographers, and schedule speakers.

  • Coordinate details and maintain timelines and priorities for each SMILE event.


  • Responsible for answering phone calls and emails during business hours promptly and professionally.

  • Creatively compiling monthly newsletter to supplement marketing and fundraising efforts

  • Responsible for informing SMILE families about upcoming Kids and Youth Events through emails and SMILE Announcements Group.

  • Maintaining schedule/calendar for SMILE, including coordinating Zoom meetings for SMILE.

  • Staying up to date on platforms including upkeeping GSuite, Ring, Slack, Zoom, and other applications that may be used by SMILE as necessary.

Community Outreach and Engagement

  • Research local resources that would support the inclusion of children with disabilities in Public and Private Schools, Community Centres, etc.

  • Work with SMILE’s Education and Outreach Consultant to develop and conduct and or coordinate presentations for Public and Private Schools.

  • Develop programs for mosques to become accessible with clear deliverables.

  • Connect masjids and centers to disability resources.

  • Schedule and provide logistical support for community lectures on disability-related issues held in the community.

  • Develop and conduct outreach to recruit diverse community members to participate in community conversations.

  • Collect, manage and report data regarding established project milestones.


  • Must have a completed bachelor’s degree or diploma in a relevant field or equivalent and relevant experience.

  • Success in event planning, professional volunteer management, public relations, special events, and networking is an asset.

  • Knowledge in issues related to disability and accessibility and familiarity with AODA standards.

  • Experience working with and understanding culturally diverse communities

  • Strong public speaking skills.

  • Knowledge in creating social media posts on Canva, and social media skills, including Facebook, Instagram, Youtube, Zoom, and Twitter.

  • Understanding of marketing and fundraising principles and the ability to participate in all areas of the development cycle.

  • Able to succeed in making cold calls, as well as develop and implement cultivation and solicitation strategies

  • Proficiency in GSuite, Microsoft Office, and Excel.

  • Must have a driver's license in good standing with access to a vehicle

  • Must be eligible to work in Canada

Compensation and Start Date

This full-time position is home-based, $18.50/hour, 35-40 hours per week, covering a Maternity Leave.

The start date & end date is June 1, 2022 - June 1, 2023
